Understanding EFILE Number Application and Yearly Renewal

The Canada Revenue Agency (CRA) EFILE program enables tax professionals and volunteers to submit client returns electronically. To participate in the program, the individual or the entity need an EFILE number and password issued by the CRA. In this blog, we’ll explore how to apply for an EFILE number, the yearly renewal process, and the importance of keeping your account information up-to-date.

The first step in becoming an electronic filer is to complete the EFILE Registration Online form. This is a one-time application, but in some situations, you may need to submit revised information. The applicants will be asked to provide the RepID for each applicant on their EFILE registration form. If the applicant does not have a RepID, they can register for one at Represent a Client. The online application is primarily designed for tax preparation businesses, but individuals can also apply to become electronic filers. If you’re not operating a tax preparation business, provide your full legal name in the “Name of proprietorship, partnership, or corporation” field and select “Proprietorship” in the “Business Type” field when completing the online application. Note that individuals and businesses applying with the intention of filing a minimal number of returns (or no returns) won’t be considered tax preparation services providers and will be denied access to EFILE.

In the next step, the CRA will reviews the applicant’s application to ensure that it meets the eligibility criteria. CRA will verify the information provided, including business details, tax preparation services, and RepID (if applicable). Once approved, the CRA will issue the EFILE number specific to the tax preparation business or individual use. Along with the EFILE number, the applicant will receive instructions on setting up their EFILE password.

The processing time for an EFILE application with the Canada Revenue Agency (CRA) typically takes 30 days . This duration allows the CRA to thoroughly review each application and ensure compliance with program requirements. While this activity is being carried out, you will be limited to performing EFILE Account Maintenance activities only (source: Canada.ca).

Existing electronic filers are required to renew their EFILE account annually to continue participating in the program. The renewal ensures that the information is up-to-date and that users receive a new password for the new tax season. Towards the end of October each year, the Canada Revenue Agency (CRA) sends out invitations with detailed instructions to renew EFILE accounts. To renew your account, sign in using your EFILE number and password, and select “Renew account” on the resulting webpage. All account renewals must be done online.

Although most fields on the EFILE renewal form can be modified, certain fields cannot be revised once submitted. Changes to these fields are significant enough to warrant a new application and a new EFILE number and password. These fields include:

  • Name of proprietorship, partnership, or corporation
  • Business Number
  • Federal Partnership Identification Number
  • Business type
  • Name of business official or principal owner(s)
